IEEE PCIC SAFETY AND SECURITY GUIDELINES

 

For duration of the conference, including subgroup, tutorial, and other meetings before during and after the conference, the following steps should be taken:

  1. The Local Committee shall have a safety/security chair and vice chair who work with the facility owner/operator(s) and any other relevant parties to ensure safety and security.
  2. The chair and vice chair of security and safety shall meet each morning with the meeting designated safety persons for that day to ensure they are present and fully understand their duties.
  3. The Conference shall follow all Federal, State/Provincial, and Municipal laws, by-laws, and other requirements as applicable to the conference / meetings.
  4. The Conference shall follow Fire Marshal (or equivalent body) regulations as far as occupancy levels, keeping exits clear, stage heights etc.
  5. Each official meeting (Working Group, Reception, Meal, Subcommittee, Presentation, Tutorial, etc.) shall have a designated safety person who shall be familiar with the exits, muster points, fire extinguishers, alarm signals, and facility emergency phone numbers. This person shall be the Emeritus during presentations and shall be designated by the meeting leader in conjunction with the security and safety team in other cases.
  6. In the case of an emergency the designated safety person(s) shall give directions, raise the alarm etc. as required.
  7. In each Registration Packet a brief leaflet shall be included listing emergency phone numbers and procedures plus whatever else the Local Committee considers necessary.
  8. At the start of each meeting the Sub-Committee Chair shall give a brief announcement saying who the safety person is, where the exits and muster points are and what to do in case of an emergency.
  9. Hospitality Suite safety and security is the responsibility of the group providing the hospitality. However, they are encouraged to follow these guidelines and may consult with the Local Committee on the issues or concerns.
  10. These guidelines may be modified to suit local requirements by the individual Local Committees.
